Plain English. We hold the personal information you give us, we use it to run your move, and we keep it only as long as we need to. Below is the detail.
Who we are
Removals Canterbury is a UK-registered removals firm operating international moves from Canterbury and East Kent to France, Italy, Spain, and Portugal. For data-protection purposes we are the data controller of the personal information you provide to us.
What data we collect
The personal information you give us directly:
- Your name and contact details (email, phone).
- The pickup and drop-off addresses for the move.
- A target moving date if you have one.
- Free-text notes you choose to include with the brief.
- Survey-derived information about the consignment (inventory, valuations, photographs of access at the Canterbury-area property, separate itemisation of library / manuscript / ecclesiastical pieces where applicable).
- Documentation required for customs (residency-evidence pack, codice fiscale / NIE / NIF references where applicable, V5C for vehicle shipping, academic-residency documentation where applicable).
How we use it
Your personal information is used for:
- Replying to your enquiry and arranging the survey.
- Preparing and issuing your written quote.
- Filing UK and destination-country customs paperwork (ToR1 to HMRC, destination-country inventory and declarations).
- Coordinating with cultural-property specialists where the survey identifies items above the UK export-licence threshold.
- Operating the move and corresponding with you about it.
- Issuing invoices and managing the commercial relationship.
We do not sell or rent your personal information. We do not use it for marketing to unrelated parties.
Who we share it with
Limited sharing for operational purposes only:
- HMRC, for the UK-side ToR1 declaration.
- The destination-country customs authority (French Douanes, Italian Agenzia delle Dogane, Spanish Aduana, Portuguese Autoridade Tributária) for the country-specific declaration.
- The UK Arts Council / Cultural Property Unit where any item in the consignment triggers a cultural-property export-licence question, with the customer\'s explicit consent.
- Insurance providers operating cover on the consignment.
- Service providers operating parts of the move under contract (depot operators, port forwarders, Eurotunnel operators, destination-side shuttle-vehicle partners, specialist art-shipping firms where applicable) bound by data-processing agreements.
- Sister network sites only where we refer you on (e.g. Removals Sevenoaks for West Kent moves, Removals Manchester for Costa del Sol, UK Portugal Removals for Algarve-specialist moves) — and only with your explicit consent.
How long we keep it
We retain enquiry and quote records as long as we need to operate the move and satisfy our legal obligations afterwards (customs records, accounting, insurance, claims). Outside those retention requirements, we keep information only as long as needed for legitimate business purposes.
Your rights
Under UK GDPR you have the right to access the information we hold on you, to correct it if wrong, to request deletion (subject to the retention requirements above), to object to processing for purposes other than delivering your move, and to lodge a complaint with the Information Commissioner\'s Office (ICO).
